[B] Scope of Service:

(1) Vendor needs to provide worker compensation insurance coverage services.
1. Claims Reporting:
- First report of injury is sent electronically to the workers compensation carrier within the same day of injury unless the report gets to the benefits specialist at the end of the workday. If injury occurs during the evening shift, the report then is sent to the workers compensation carrier the next day.
2. Staffing for Internal Claims Administration:
- District has a staffing of one person - benefits specialist to handle workers comp injuries. All injury reports come into the human resource services office and are processed by completing DWC1 and submitting the report to the workers compensation carrier. The injuries are reported to the school nurse and supervisor and investigated if deemed necessary. The Benefits Specialist completes “authorization for medical services” form and sends with employee to treating facility or gives verbal authorization via telephone. If a bus accident occurs, the director of transportation, assistant director of transportation and police are on site as well as any administrator that is deemed necessary.
3. PPO or Bill Reduction Services Utilized:
- Bills are reduced to the state fee schedule upon audit. Voluntary PPO networks are no longer an option in Texas, so there are no additional discounts.
4. Initial Medical Attention and Direction Given to Injured Worker:
- The injuries are reported to the school nurse and supervisor and investigated if deemed necessary. Injured employee is provided a copy of the injury report and the “authorization for medical services” form to take to treating facility and told to contact the benefits specialist if they have questions. The DWC1 is then sent to the workers compensation carrier along with any other forms. If a bus accident occurs, the injured employee will be sent for appropriate medical attention.
5. Communication with Workers Compensation Carrier:
- There is daily and weekly communication between the district and workers compensation carrier. Claim issues, contract renewals, excess insurance, safety trends, etc. are discussed as needed.
6. Loss Prevention: Agency does not have a dedicated staff to handle safety initiatives.
- The District does not have a safety program but the human resources department coordinates with workers compensation carrier to set up safety training for staff. The injuries are reported to the school nurse and supervisor and investigated by the benefits specialist or supervisor if deemed necessary.
(2) All questions must be submitted no later than March 5, 2020.
(3) Contract term will be one year.
