[B] Scope of Service:

(1) Vendor needs to provide marketing and advertising services.
1. Creative Services
- Generate creative consumer focused collateral that infuses brand with our audience.
- Collaborate with us to develop advertisements (digital, video, print, outdoor, etc.) and other creative assets.
- Support and assist with the planning and coordination of any photo and video shoots. Planning services include concept development, shot list and location list development, and shoot timeline development.
- Create an email marketing content calendar for client’s advance approval.
- Assist with the asset management and collection to prepare destination marketing emails, segmented by interest for monthly distribution.
- Recommend seasonal content updates to website content (updating images, featured videos, etc.) using our content management system (CMS). All website programming will be handled by our website service provider.
- Monitor our subscription and push appropriate content toward social, digital and print programming.
2. Media Planning and Management Services
- Collaborate with us to develop strategic media plans.
- Solicit and evaluate media proposals based on approved strategic plans.
- Identify and evaluate media opportunities.
- Collaborate on digital and traditional media placement, both direct and through third-party media vendors.
- Develop and implement social media advertising campaigns, including ad creation, audience targeting, budget management, channel management, and optimization.
- Collaborate with us to develop metrics for the ongoing measurement of marketing efforts.
3. Marketing and Media Reporting Services
- Provide monthly reports that track impressions, leads, engagements and other key performance indicators (KPIs).
- Provide presentation support (updating PowerPoint files, providing visual assets, etc.) for our meetings (city and county a-tax meetings, etc.) during the term of this engagement.
- Provide seasonal campaign report.
- Provide monthly Proof of Performance packets for media placements. These packets, when applicable, will include the invoice to us, the media invoice to creative agency and proof of performance (affidavits, screenshots, tear sheets, video files, etc.) that are acceptable for use with the Grant requirements.
4. Strategic Planning and Account Management Services
- Collaborate with us to develop and implement a 365 always on, comprehensive strategic marketing plan to include marketing, paid digital, advertising, paid social, and public relations with an emphasis on the core spring and summer season as well as the fall shoulder season and snowbirds for the winter season.
- In the event of severe weather or other emergency, work with us and our partners to execute the emergency messaging plan, which includes implementing increased communication before, during and after the emergency to stakeholders, local residents, visitors and potential visitors.
- Participate in team status calls twice each month. Provide written summaries within 24 hours of each of these team calls to include project updates, budget, and future opportunities.
- Provide presentation support (updating PowerPoint files, providing visual assets, etc.) for our meetings (Marketing Summit, Board meetings, etc.). Create a “kit of parts” to be used during the year and have a new look and template ready for our annual meeting to be used as a template for the following year.
- Provide concise monthly invoices to and work with our media vendors to meet expectations for timely invoicing.
- Regular travel expenses associated with normal account management services are included. Outside costs (accommodations, mileage, meals, etc.) specifically related to approved creative projects are not included.
- Attend and present to the board of directors at least twice per year and attend and present to the marketing committee at least twice per year. Participate in all marketing committee meetings.
5. Search Engine Optimization and Content Services
- Work with us to optimize website pages each month, including on-page and technical improvements.
- Provide technical SEO instructions to our website service provider as necessary.
- Create a blog content calendar for our advance approval.
- Develop or update a total of blogs on our website each year.
