[A] Budget: Looking for Proposal

[B] Scope of Service:

Vendor needs to provide administration services of the federal family and medical leave act by employers for the county’s approximately 1733 full time employees and 129-part time employees in all county departments and subsidiary offices and agencies.
- Services shall include, but not be limited to: Respond to all employee questions regarding FMLA; Provide a toll-free phone number and web site for employee questions; review the county’s FMLA/FLA policies and recommend changes whenever and wherever applicable; determination of leave eligibility for employee and/or military or exigency leave; review health care provider certifications and medical documentation; contact health care providers to verify, clarify, or amplify the health condition of an employee, or qualified family member; arrange for employee to be seen by a health care provider for the county to evaluate the employee’s health condition relative to their FMLA/FLA request or qualification; creation and submission to employee and employer all correspondence, including but not restricted to, notice of eligibility and designation notice, and any acceptance and denial letters; Secure tracking of all employee requests and absences, including intermittent leave; Inform Office of Human Resources when an employee FMLA/FLA status is an UNPAID status (to assure benefit contribution billing); Provide complete documentation of each case; Provide detailed reports on employee usage; Monitor changes to, and new requirements to, Federal FMLA guidelines and State FLA guidelines; Immediate access to FMLA specialists; Online tracking tools and access; Provide detailed weekly, monthly, quarterly, and annual reports to Human Resources Director; Audit all claims to determine fraud.
