[*] Scope of Service:

(1) Vendor needs to provide ambulance billing and collection services.
- The billing agency shall handle the ePCR integration process at no extra charge.
- Upon receipt of the ambulance report data, the billing agency shall prepare and mail the invoice to the patient within seven (7) business days. This mailing shall include all necessary forms for payment processing, along with a return envelope.
- The billing agency shall provide a secure e-mail data exchange system for the purpose of exchanging confidential patient information with city staff.
- Utilize current diagnostic coding to ensure compliance with federal, state, and local regulations.
- Accept responsibility for patient billing inquires and complaints during a minimum of regular business hours (M-F, 8AM – 5PM) central time, and provide an online system for patients to ask
questions and provide payment.
- Provide tracking of submitted claims to ensure timely payments.
- Provide monthly statements to allow patients to be aware of outstanding balances.
- Provide access to city staff to monitor billing activities and accounts receivable for all accounts under this contract.
- Provide a reporting system that provides system generated monthly reports and customized reports that are accessible to city staff.
- Facilitate the posting of revenues and provide documentation to the city banking institute.
- Request for funds must include the patient’s payment information along with a detailed explanation of why the refund is requested and all information necessary to submit the refund.
- Ensure that all data collection, reporting and billing methods comply with all current state and federal regulations.
- Provide regular updates and on-going training to the city on any changes to billing requirements based on industry standards or requirements of application health care laws and regulations.
- Train all involved personnel in the operation and specifics of the system prior to start date.
(2) All questions must be submitted no later than March 10, 2023.
(3) Contract term will be three years.
